The Challenge
Our client processed hundreds of incoming documents daily: invoices, contracts, and inquiries manually across various systems. Employees spent a significant portion of their working hours reading, classifying, and routing information. The goal: An intelligent automation platform that independently understands documents, extracts relevant data, and triggers the appropriate follow-up processes – without needing to replace existing systems.
The Solution
We designed and implemented a modular AI automation platform based on Azure AI Foundry and n8n. Azure OpenAI Service handles the semantic analysis of incoming documents: classification by type, extraction of structured data, and context-based summaries. n8n functions as the central orchestration layer. Incoming documents from email, SharePoint, or upload portals are automatically captured, routed through the AI pipeline, and the results are forwarded to the respective target systems – ERP, CRM, or Microsoft Teams. Every workflow is visually traceable and customizable without developer knowledge.
Integration with Entra ID and Conditional Access ensures that only authorized applications and users access the AI services. All models run in the client's Azure region – complete data sovereignty, GDPR compliant. The result: 80% less manual processing time, a scalable platform for further AI use cases, and a system that the business department can independently expand with new workflows.
