The Challenge
Management wanted to deploy Copilot for Microsoft 365 - the demand from the business departments was high. But the IT organization knew: Without preparation, Copilot becomes a risk. Copilot finds everything the user has access to - including data that has long been forgotten or improperly permissioned. The challenge: How do you roll out Copilot without exposing existing governance gaps? How do you ensure that sensitive data remains protected? And how do you ensure that employees actually use Copilot - rather than dismiss it as a gimmick?
The Solution
Before a single user saw Copilot, we prepared the tenant. Using Microsoft Purview, we identified sensitive data and implemented Sensitivity Labels. Excessive permissions in SharePoint were cleaned up, and governance policies tightened. Only then did the rollout follow - in waves, starting with a pilot group of early adopters. We developed use case-specific training: Copilot for Sales, for Project Management, for Executives. No generic training, but scenarios from real everyday work.
Simultaneously, we established feedback channels via Viva Engage and optimized continuously. A Copilot rollout with a productive start from day one: high user adoption, no security incidents, clear data governance through Purview and Sensitivity Labels.
